Australian Cricket struggled with outdated, clunky forms and manual data entry across its national and state operations. QMetrix implemented a business process automation solution integrated with Microsoft Dynamics AX and Profisee MDM, cutting process turnaround times in half and saving almost a full-time equivalent resource in invoice processing.
Cricket Australia is the national governing body for cricket in Australia, overseeing professional and amateur operations across national representative teams and more than 3,500 clubs nationwide. Together with six state and two territory associations, Australian Cricket employs over 1,000 staff who rely on various operational forms and approval workflows daily.

The challenge: Outdated forms and manual data entry
Before partnering with QMetrix, Australian Cricket relied on a legacy forms tool that was expensive to maintain and lacked integration with core business systems. This created significant operational hurdles:
- Manual and repetitive tasks: Completing forms, validating vendor details like ABNs, and manually re-entering data into finance systems consumed substantial staff time.
- Long approval turnarounds: Typical approval processes took up to four days to complete due to manual follow-ups and back-and-forth communication.
- Inconsistent processes: Separate forms were used across state associations, making oversight, risk mitigation, and auditing difficult.
Cricket Australia required a modern, user-friendly business process management solution that could integrate seamlessly with their finance systems, support automatic data validation, and streamline approvals nationwide.
The solution: Integrated workflow automation
Cricket Australia partnered with QMetrix to design and implement key integrated forms that directly connect to Australian Cricket’s ERP system (Microsoft Dynamics AX) and Master Data Management application (Profisee).
Automated new supplier requests
The new vendor request process automatically checks for pre-existing suppliers in Profisee to prevent duplicate records. Built-in form validations ensure mandatory information is accurately captured before submission, pulling data from core systems to eliminate typos.
Once submitted, approvals flow automatically into Dynamics AX without accounts staff manually rekeying information.
Efficient customer invoicing
Previously, raising a customer invoice required a finance team member to manually create the customer record and invoice separately, taking up to 15 minutes per request.
The integrated Customer Invoice Form fully automates this flow, saving nearly one full-time equivalent (FTE) resource when processing up to 1,000 monthly invoices for local clubs and associations.

“Automation has changed the way we operate. The tool has rich functionality, good workflow and reporting, and integration capabilities. We have only been using it for 3 months, but it has already saved us weeks of work and sped up processes.”
