Syllabus for success: A government education entity transformed with MDM

Learn how this government education organisation gained a full lifecycle view students, staff and schools, enabled by an upgraded Master Data Management solution.

This is a large state government entity that delivers and coordinates education across early childhood all the way through to vocational and higher education.

The organisation had an existing data warehouse with a legacy Master Data Management platform that was no longer supported. It wanted to design a new modern data platform and uplift their technology stack to support future initiatives.

As part of the uplift, the organisation identified the need to upgrade their Master Data Management platform. They chose Profisee, which would provide the foundation to get everything else going and in the right place, including downstream analytics.

Moving to Profisee

To do this, QMetrix – Profisee’s most experienced, certified consulting and implementation partner – put together a plan for moving to the latest version of Profisee, procured through the Microsoft Azure marketplace.

The QMetrix project team undertook a detailed analysis of the existing solution and assessed the best approach to migrate to the new version of Profisee.

The team supported the organisation in transitioning the existing integrations to the new version of Profisee within their modern data platform, ensuring a smooth upgrade transition across the wider ecosystem. This involved revising existing integrations to align with the new platform architecture.

Integration with Microsoft Azure and Purview

In the past, the organisation was limited to what Microsoft applications and versions they could use due to the older Master Data Management platform’s incompatibility with recent architectures.

Now, it can use the latest versions of Microsoft’s technologies and remove dependencies on deprecated solutions, such as Master Data Services.

The organisation wanted to take advantage of Microsoft Purview, which natively integrates with Profisee. When integrated, Profisee bi-directionally synchronises metadata, while Purview allows you to capture the lineage of where the data is from and where it is going.

Purview enables you to define data asset owners and supply detailed attribute descriptions, ensuring consistency of understanding across the organisation. The details captured within Purview are surfaced within the Profisee web user interface.

The organisation’s data integration approach relies on Microsoft Azure Data Factory to orchestrate daily batch loads and manage essential tasks such as Matching, Survivorship, and address verification, leveraging Profisee’s pre-built templates and interacting with its REST APIs to enable rapid creation of integration pipelines.

Achieving a 360-degree view of students and more

From Prep to Year 12 and beyond, students will generate multiple pieces of information, such as school enrolment changes and NAPLAN IDs – often stored in different systems.

To understand the full lifecycle of each student, Profisee is used to bring disparate elements together from various sources using automated matching and survivorship processes established via configuration not coding. It then supplies the single view of student downstream into the organisation’s data platform.

This process is also applied to staff, schools, partner organisations and other records to provide the best representation of each entity and their lifecycle, interactions and connections.

This comprehensive view offers significant advantages. It enables the organisation to enhance and focus on increasing student engagement via tailoring learning experiences to individual needs, better personalised support and timely interventions based on insights into student progress.

A better user experience

Profisee’s FastApp zero footprint web portal interface provides tailored user experiences to different data steward communities.

This is a significant departure from the previous generation of software which required the installation of a desktop client on every computer and manually managing upgrades whenever there was an update.

The introduction of web portal brings substantial benefits to both end users and administrators alike.

Administrators don’t need to have web development skills to create or update FastApps for the web portal.

Leveraging a configuration-based approach, creation of new data entry form screens, interactive visualisations or record grids within Profisee FastApps are rapidly implemented via “point and click” setup.

To enable the organisation to support and enhance their Profisee solution ongoing, QMetrix worked with them side-by-side and also provided structured and tailored training workshops.

The upgraded MDM solution has led to improved data management and data insights, which in turn support better strategic planning and enhanced educational outcomes. It has also provided:
